Hey everyone! Just wanted to share some cool insights from our recent webinar featuring Emma Douglas and Colin Chapin from Formstack. They had an engaging discussion about the Formstack subaccount model and how it can simplify data management for teams and organizations.

Kicking Things Off

Emma explained how Formstack's subaccount model gives users more flexibility and control when managing multiple accounts under one main account. She highlighted how it’s particularly useful for franchises, compliance-focused companies, and anyone who needs to keep data organized. The benefits? Think centralized management, flexible user access, and strong compliance features.

A Fun Hypothetical: Team USA at the Olympics

This is where the fun started, Emma shared how the Formstack subaccount model could help Team USA prep for the Paris Olympics in 2024. Consider Team USA as a parent account and all the teams (swimming, gymnastics, basketball, etc) as subaccounts. In the scenario, each subaccount operates somewhat as an independent entity, but the parent needs visibility into this. Examples included booking travel for the team, managing press schedules, and even managing permissions based on the user’s role in the organization.

It was a great example of how this system can support teams during big events. Emma pointed out how the model is perfect for scaling up and streamlining workflows, while Colin noted how parent account users can easily manage permissions for subaccounts.

Live Demo Time!

Colin then took us through a live demo, showing how to handle subaccounts from an admin’s perspective. He walked through everything—from finding and creating subaccounts to managing user permissions. He also highlighted how consultants can charge for their services on a subaccount. Excitingly, there were talks about expanding auditing features down the line. Plus, Colin explained the difference between groups and subaccounts and outlined how folders can help organize forms if setting up subaccounts feels like overkill.

Handling File Attachments

Colin touched on some challenges with file attachments in private buckets, but he had a couple of solutions: you can export files to services like Box or Google Drive, or create a special user type that only has access to download attachments and view submission data.

Wrapping Up

The big takeaway? Formstack’s subaccount model is a powerful tool for managing data, offering centralized control, customizable access, and solid compliance.
